Teams stores files in SharePoint, and where they land depends on the channel type. Standard channels share the team site, while private and shared channels get their own sites. Learn how the link works, who controls permissions and 6 steps to check Teams files before and after a migration.
Your user opens the Files tab and sees a folder. You open SharePoint and find a site nobody remembers creating.
I explain this link on almost every Teams project. This guide shows where Teams files live in SharePoint, using Microsoft's own pages, and what that means for a migration.
Where do Microsoft Teams Files Live in SharePoint?
Microsoft's page on Teams and SharePoint integration gives the rule. Every standard channel stores files in the team's parent SharePoint site, in its default document library, and every standard channel gets its own folder there.
Private and shared channels work differently. Every private channel and every shared channel has its own channel site, and its files go to that site's default document library.
| Channel type | Where files live | Site shared on its own |
|---|---|---|
| Standard | Folder in the default library of the team site | Yes, though Microsoft prefers Teams based access |
| Private | Default library of its own channel site | No |
| Shared | Default library of its own channel site | Limited to the organization and channel participants |
| 1:1 chat | OneDrive of the person who shared the file | Not applicable |
The chat row comes from Microsoft's page on searching Teams content in eDiscovery. It says files shared in a 1:1 chat sit in the OneDrive of the person who shared them.
How does a Team Get Its SharePoint Site?
Microsoft lists four ways. A new team creates its own SharePoint site, and a team built from a Microsoft 365 group connects to that group's site. You can also add Teams to an existing SharePoint site, and a new private or shared channel creates a channel site.
That list explains the surprise sites. One team can own a parent site plus several channel sites, so a migration plan needs a list of every site, not only the team.
Who Controls Permissions on the Connected Site?
Parent site permissions sync with the team. Owners can add people in SharePoint, but Microsoft recommends managing all permissions through Teams.
Channel site permissions come from the channel and stay read only in SharePoint. Sensitivity labels apply to the team or parent site, and channel sites inherit the parent's sensitivity. Guest access expiration, site quota and the default sharing link type sit in the SharePoint admin center.
How do You Open Teams Files in SharePoint by Hand?
Open the channel, go to the Files tab and select Open in SharePoint. You land in the default library at that channel's folder.
That works for one channel. A tenant with 200 teams needs a sheet that lists every team, channel type, site address and folder name, and you build that sheet yourself.
How do You Check Teams Files Before and After a Migration?
I follow six steps on every Teams project.
- List teams and channels. Mark every channel as standard, private or shared.
- Find the sites. Record the parent site for every team and the channel site for every private or shared channel.
- Compare folder names. Check that every channel folder name matches its channel name, because renamed channels cause mismatches.
- Check labels and quota. Confirm the destination sensitivity label and site quota before you copy files.
- Copy the team and its files. Move channels and files together so folders keep their place.
- Open every Files tab. Test as an owner and as a member, then check version history on a few files.
For the full move, read how to migrate Microsoft Teams to another tenant. For channel types, read how to migrate Teams private channels and how to move Teams shared channels.
Read how to migrate a SharePoint site to another tenant for a site level view, and how to move a Teams channel to another team for one channel inside a tenant.
What are the Best Practices for Teams Files in a Migration?
- Map every site. One team can own several sites.
- Match folder names. A folder that no longer matches its channel hides files in the Files tab.
- Manage access in Teams. Microsoft recommends it over direct SharePoint sharing.
- Check labels early. Channel sites inherit the parent label.
- Test as a member. Owners see more than members do.
Which Mistakes Hide Teams Files After a Migration?
Four errors repeat across projects. People copy the team but skip the private and shared channel sites, and they rename channels without checking the folder names. Some forget that 1:1 chat files sit in OneDrive, and others test only as an owner.
My Verdict on Teams Files and SharePoint
Teams does not store files. SharePoint and OneDrive do, and Teams shows a view of them.
Map every site, match folder names and test the Files tab as a member. Then no user asks where the files went.
Frequently Asked Questions
Where are Microsoft Teams Files Stored?
Microsoft says standard channel files sit in the default document library of the team's parent SharePoint site, in a folder for the channel. Private and shared channels have their own sites.
Does Every Teams Channel have Its Own SharePoint Site?
No. Standard channels share the parent site and get one folder per channel. Only private and shared channels get their own channel site.
Where are Files From a Teams Chat Stored?
Microsoft says files shared in a 1:1 chat are stored in the OneDrive of the person who shared them.
Who Controls Permissions on a Teams Channel Site?
Channel site permissions are inherited from the channel and are read only in SharePoint, per Microsoft. The channel site cannot be shared separately.
Can I Manage Teams Files Directly in SharePoint?
Yes for the parent site, but Microsoft recommends managing all permissions through Teams. Settings like guest access expiration and site quota sit in the SharePoint admin center.
Do Sensitivity Labels Apply to Teams Channel Sites?
A label applies to the team or parent site, and channel sites inherit the parent's sensitivity, per Microsoft.
