SharePoint Move Cost

Summary

Moving files is the smaller part of a SharePoint move cost. Rebuild work, Microsoft licenses, admin time and late surprises decide the bill. Learn what drives every part, what tools cost and how to compare two quotes fairly.

What Makes up a SharePoint Move Cost?

Five parts make up the bill, and only one of them is the copy itself. Microsoft sets one price, vendors set another and your own estate sets the rest.

PartWhat you pay forWho sets the price
Microsoft licensesNew tenant plans, extra storage and the cross tenant licenses your route needsMicrosoft
Migration toolingSoftware that copies sites, libraries and listsTool vendor
Admin timePlanning, mapping, pilots, cutover and testingYour team or a partner
Rebuild workForms, workflows, branding and custom code that need a new buildYour team or a partner
Late costsStaff time, cleanup, storage and a longer windowYour estate

Swipe the table sideways to see every column.

Check what a quote covers before you compare it with another. Services quotes leave out Microsoft licenses, extra storage, tooling and your own staff time.

Microsoft's migration orchestrator moves mailboxes, OneDrives, Teams chats and Teams meetings. SharePoint sites stay in the source tenant, so a site move needs another route. Microsoft licenses one for Enterprise Agreement customers, and the tools section covers it.

Many quotes bundle rebuild work under a migration label. Once you separate the two lines, half the conversation with finance changes.

Where does the Money Go in a SharePoint Move?

Copying files is a job with a known shape. Rebuilding forms, workflows, branding and custom code is design work that someone has to scope, build and test.

Workflows and flows stay behind in a RecoveryTools SharePoint Migrator move, so budget their rebuild as its own line.

That split tells you where to push. In my estimates, cutting dead forms and workflows before anyone prices a rewrite saves more than a discount on tooling.

What Drives a SharePoint Move Cost?

Count the things that take effort, not the gigabytes. Ordinary content is cheap per unit, and custom work is not.

  • Standard document libraries. Low effort, because content and permissions copy in a known way.
  • Sites with unique permissions. More mapping work, and Microsoft Graph prices a permission operation at 5 resource units against 1 for a single item query.
  • Workflows. Rebuild work, because workflows do not copy across.
  • Forms. Rebuild work, because every form needs a new home.
  • Custom branding. Rebuild work after the content lands.
  • Custom code. A rewrite plan before the move starts.

In my estimates, a few customized sites can outweigh many ordinary ones. Storage tells you nothing about that gap.

A cost estimate built from a storage figure guesses at the wrong variable. Count sites, then count the customized ones separately. Route choice affects the rest, and the options are compared in how to migrate a SharePoint site to another tenant.

Permissions get expensive quietly. Cleaning them at the source costs nothing, and the method is in how to migrate SharePoint permissions to another tenant.

What do the Tools Themselves Cost?

Three price models exist and they are not comparable, so compare what every option lets you do.

  • SPMT. Free. Microsoft's introduction page describes it as free and lists SharePoint Server and file shares as sources. A tenant to tenant move is outside that page.
  • Microsoft's cross tenant licenses. Per user or per 100 GB. The per user add-on covers mailbox and OneDrive moves. For SharePoint content, Microsoft's cross tenant page says licenses are offered per 100 GB of data moved to Enterprise Agreement customers, with one pass and no delta.
  • Third party tools. Priced by the vendor. Models differ by site, seat or year, so get the license term in writing.

RecoveryTools publishes SharePoint Migrator prices on the SharePoint Migrator pricing page.

Price per site beats price per gigabyte. Storage tells you nothing about effort. A small regulated estate with custom apps costs more to move than a large folder of documents, which is why gigabyte pricing suits the seller rather than the buyer.

Which SharePoint Move Costs Land After the Quote?

Every overrun story has the same shape. Something true was not in the inventory.

  • Internal staff time. Never in the services quote, always in the project. Owners approve content, admins answer questions and testers check sites.
  • Destination storage. Microsoft lists 1 TB plus 10 GB per license purchased for Microsoft 365 and Office 365 plans. Versions, staging and growth push past it, and Microsoft warns that a tenant over its limit can go read only. Version history adds items fast, as SharePoint version history migration explains.
  • Content cleanup. Budget time for it. Skipping cleanup moves the work to the far side, where it costs more.
  • Compliance checks. Plan time to confirm permissions and retention after the content lands.
  • Decommissioning the source. Closing the old tenant is its own line of work, covered in how to decommission the old Microsoft 365 tenant.
  • Throttled throughput. Microsoft says migration apps get limited throughput on weekday daytime hours, so daytime batches stretch a calendar that someone is paying for.
  • A longer window than planned. Time scales with everything else, and the math sits in how long does a SharePoint move take.

How do You Cut a SharePoint Move Cost?

Work in order of impact, which is not the order most teams try.

  1. Cut customizations before anybody prices them. Dead workflows and forms need no rewrite, and rewrites are the biggest line.
  2. Move less content. Archive what nobody opens, because fewer items mean a shorter move.
  3. Flatten permissions at the source. Group based permissions give the move fewer permission calls to make.
  4. Scan the estate before quoting. A scan of sites, items and permission scopes gives every vendor the same facts.
  5. Do the content move in house. Site migration labor is a real line on every quote, and a tool plus your own admin replaces it.
  6. Check how tool licensing renews. Annual licensing on a project that slips becomes a second year nobody budgeted.
  7. Size contingency to uncertainty. Weak documentation and an incomplete workflow inventory justify a larger buffer. Clean estates need less.

Scan Your Own Estate Before Anybody Quotes It

RecoveryTools SharePoint Migrator has a storage scan that shows where space goes, plus a delta pass and throttle aware batches. Start the free trial to scan your own estate before you ask for quotes.

Works on Windows 11, Windows 10 and Windows Server 2022.

How do You Compare Two Quotes Fairly?

Two proposals for the same estate can differ threefold and both be honest. Line them up on these questions.

  • Is the rebuild work priced separately? If forms, branding and workflows sit inside one migration number, you cannot tell what you are buying.
  • What is the content inventory behind it? Sites, items and average file size, or a storage figure and a guess.
  • Who pays when the inventory is wrong? Fixed fee after discovery and time and materials before it are different risks.
  • Is tool licensing in or out? A subscription tool priced for twelve months on a nine month project is a renewal waiting to happen.
  • What happens in the second year? Managed services with a long minimum term are a real commitment.
  • Is cutover support included? Hypercare after go live gets dropped from cheap quotes and added back later.

Frequently Asked Questions

How Much does a SharePoint Move Cost?

Cost depends on sites, customizations, permissions, route and time, not storage alone. Services quotes leave out Microsoft licenses, extra storage, tooling and your own staff time, so price every part on its own.

Why are Quotes so Different for the Same Data?

Content volume is a poor predictor of effort. Ordinary libraries copy in a known way while custom solutions need design work, so two estates with the same storage can differ widely in cost.

What is the Cheapest Way to Move SharePoint Content?

Microsoft's SPMT is free, but its introduction page covers SharePoint Server and file shares as sources and does not address tenant to tenant moves. Microsoft's native cross tenant route for SharePoint content is licensed per 100 GB moved, offered to Enterprise Agreement customers and limited to one pass with no delta. Other teams use a per site tool operated by their own admin, with consultants kept for rebuild work that no copy covers.

Should a Move be Priced per Gigabyte or per Site?

Per site tracks effort better. Storage says nothing about item counts, custom columns, permission scopes or workflows, which decide duration and risk. Gigabyte pricing favors the seller on large, simple estates.

How Much should be Set Aside for Contingency?

Size the buffer to your uncertainty instead of a flat figure. Weak documentation, unknown content owners and an incomplete workflow inventory justify more. A clean, well governed estate justifies less.

What is the Biggest Avoidable Line in a SharePoint Move Cost?

Rebuilding customizations. Forms, workflows, custom code and branding cost more to recreate than ordinary content costs to copy. Deciding what still gets used before anybody prices a rewrite saves more than a discount.

How Much Storage does a New Tenant Include?

Microsoft lists 1 TB plus 10 GB per license purchased for Microsoft 365 Business, Microsoft 365 Enterprise and Office 365 plans. That total leaves out the OneDrive created for every licensed user, and Microsoft warns that a tenant over its limit can go read only.

Where to Start This Week

Count two things. Ordinary sites, and customized ones.

Ordinary sites are a volume problem with a known answer. Customized sites are a rebuild project that sits inside a move, and they carry most of the cost whoever does the work.

Both counts belong in the wider Microsoft 365 migration planning checklist rather than a separate budget sheet. Then take one question to your first vendor call. Which of these sites are you moving, and which are you rebuilding?
