SharePoint lists that look short have almost never lost items. View filters, folders, item permissions and the list view threshold hide them. Check the view first, then folders and permissions, then add an index to the column you filter on. After a migration, also check rebuilt views and mapped users.
You open a list that should hold 8,000 rows and see 300. Your manager asks where the rest went. After a migration, that question usually lands on your desk first.
I get this ticket every month. Items rarely disappear. This guide shows why a SharePoint list is not showing all items, how to find the cause in a few minutes and how to fix large lists with steps from Microsoft.
Why is a SharePoint List Not Showing All Items?
A view is a saved question, not the list itself. It can filter by a column, group rows, open folders only or stop at a count. Microsoft's page on filtering a SharePoint view describes a filter as a way to limit a view to the data you want to see. Items that do not match stay in the list.
Size causes the second group of problems. Microsoft's page on the list view threshold for large lists and libraries says the default is 5,000 items and that operations above it are blocked. The same page says a list can store up to 30 million items, so the threshold limits queries, not storage. The page also names a lookup threshold of 12 join operations, so a view with many lookup columns can fail to open.
Permissions make the third group. People only see items they can open, so a list can look short to one person and full to another.
Which Cause Fits What You See?
Match your symptom to a cause before you change a setting.
| What you see | Likely cause | Fix |
|---|---|---|
| Fewer rows than the item count | A filter on the view | Clear the filter or open the All items view |
| Many rows missing from a flat view | Items sit inside folders | Open the folders or use a view that shows items without folders |
| Message about the list view threshold | Query touches more than 5,000 items | Index the filter column and filter on it |
| One person sees fewer items | Item level permissions | Compare access for both people |
| View refuses to open | Too many columns in the query | Remove columns from the view |
| List looks wrong right after a move | View was rebuilt without a column or filter | Open every view and compare with the source |
How do You Fix a SharePoint List Not Showing All Items?
Work through these steps in order. They go from the quickest check to the deepest one.
- Open the All items view. Use the view menu at the top right and select All items. If every row shows up there, your first view was filtering or limiting the list.
- Look for filters. A filter icon next to a column heading means the view is filtered by that column. An asterisk next to the view name means the view has unsaved changes.
- Open the folders. Items inside folders do not show in a flat list. Check whether people stored rows in folders.
- Search for a known item. Type the title of one missing row in the search box. Microsoft lists the search box as a way to work with large lists.
- Check permissions. Ask the person who cannot see an item to open it from a direct link. If it fails, access is the cause, not the view.
- Check the item count against the threshold. Microsoft warns on the List Settings page when a list passes 3,000 items. Past 5,000 items, filters and sorts need an index.
- Rebuild the view on an indexed column. Create an index, then filter the view on that column. The next section shows how.
How do You Add an Index to a SharePoint List Column?
An index helps SharePoint find items without scanning every row. Microsoft's page on adding an index to a list or library column gives the steps.
- Open the list settings. Open the list, select Settings and then List settings.
- Find indexed columns. In the Columns section, select Indexed columns.
- Create a new index. Select Create a new index.
- Choose the column. For a simple index, select a column that is not a lookup column under Primary column for this index.
- Create the index. Select Create, then filter your view on that column.
Microsoft says up to 20 columns can be indexed per list, so index only the columns you filter on most. Some column types cannot be indexed, like multiple lines of text and calculated columns. In SharePoint Online you cannot change the threshold itself, so an index and a filter are the way through.
Why does a SharePoint List Look Short After a Migration?
Migration adds four causes of its own. Views come first. Views are rebuilt at the destination, and a view that lost a filter, a folder setting or a column can look like missing data. I cover this in how to migrate a SharePoint list to another tenant.
Permissions come second. If users are not mapped, item level access lands on the wrong people or on nobody, and the list looks short to them. Read how to migrate SharePoint permissions to another tenant for the order of work.
Columns come third. Lookup and calculated columns depend on other lists, so they are rebuilt after the destination lists exist. Until then, a view that filters on them can return nothing. See how to migrate SharePoint list columns and how to copy a SharePoint list to another site.
Counts come fourth. Compare the item count at the source and the destination before anyone opens a view. RecoveryTools SharePoint Migrator writes an HTML report, a CSV and a text log with a status of copied, already migrated, excluded or failed for every item, so you can match counts by item. It recreates list, tiles, compact and custom views, carries unique permissions across or lets items inherit and rebuilds lookup and calculated columns after the destination lists exist.
Move Lists With Views, Columns and Permissions
RecoveryTools SharePoint Migrator moves sites, libraries and lists between two Microsoft 365 accounts with permission levels, SharePoint groups and user mappings. Check the per-item report against your source counts, and test one list before the full batch.
No credit card, no sign-up. Works on Windows 11, 10 and Windows Server.
What are the Best Practices for Large SharePoint Lists?
- Index the columns you filter on. Choose the two or three most used columns, not all twenty.
- Keep views narrow. Show only the columns people use, because wide views are the first to fail.
- Filter before you scroll. Build views by status, owner or date so no view needs all 5,000 rows.
- Name views clearly. People trust All items, so name filtered views by what they filter.
- Count after every move. Compare source and destination counts before you hand a list to its owners.
Which Mistakes Make a SharePoint List Look Empty?
Four show up again and again. First, trusting the default view as the full list. Second, adding an index after the view already fails and not rebuilding the view on it. Third, testing as an admin and missing permission gaps. Fourth, blaming the migration before checking filters.
My Verdict on a SharePoint List Not Showing All Items
The items are usually there. Check the view, then folders, then permissions, then the threshold, and index the column you filter on.
After a migration, add one more step. Count the items at both ends before anyone opens a view, and then check every rebuilt view against the source.
Frequently Asked Questions
Why is My SharePoint List Not Showing All Items?
The view is usually filtering, grouping or hiding items in folders. Permissions and the list view threshold can also hide items. The items stay in the list while the view hides them.
What is the SharePoint List View Threshold?
Microsoft sets the default at 5,000 items, though the page notes the actual number can vary by site. Operations that exceed it are blocked. The threshold limits queries, not how many items a list can store.
Can You Increase the List View Threshold in SharePoint Online?
No. Microsoft says the threshold cannot be changed in SharePoint Online. Use indexed columns, filters, folders and the search box to keep queries under it.
How Many Items can a SharePoint List Hold?
Microsoft says a list or library can store up to 30 million items or files.
How Many Columns can You Index in a SharePoint List?
Microsoft says up to 20 columns can be indexed per list or library. Some types, like multiple lines of text and calculated columns, cannot be indexed.
Why do Some People See Fewer Items in the Same List?
People only see items they can open, so item level permissions can make one person see fewer rows. After a migration, check that users were mapped so access landed on the right accounts.
Does a Migration Tool Fix a List That Shows Too Few Items?
It prevents causes that start in the move. RecoveryTools SharePoint Migrator recreates views, carries permissions and writes a per-item report you can match against source counts. It cannot change Microsoft's list view threshold.
Published 16 October 2026. Limits and steps come from Microsoft's pages on the list view threshold, adding an index to a column and filtering a view. Product behavior comes from the RecoveryTools SharePoint Migrator page. Microsoft can change these limits, so check them before you plan.
