How to Easily Change Office 365 Domain?

But, first we understand the role of the domain in an Office 365 account. When you first sign up in Office 365 after purchasing. You will be given a default domain like .onmicrosoft.com. However, many organizations want to make their Office 365 domain professional. So, If you have Microsoft 365 for business, you will be given an option to custom your domain.

A domain is a unique name that appears after @ symbol. This domain is now linked with other Microsoft services like email, collaboration tools, file storage, and user login identities. So, if you are thinking of changing our domain then it will affect the user access, mail flow and service configurations.

Why Change Microsoft 365 Domain?

Changing their account domain is not that easy. For organizations this is a big step for them. The reasons behind this can be many which we have mentioned below.

  • If your company is going through rebranding or changing their name. Then, it is compulsory to also update their domain for smooth functions.
  • Your company is merging and or someone acquires it. Here it is common to move your company to a common domain.
  • You have been using the default domain and now you want a custom domain to boost trust and credibility.
  • Some companies have multiple tenants and they want them into one domain for easy user management.

Preparations Before Configuring the Domain

  • First of all, verify the ownership of a new domain. Make sure that you have administrative access to your domain provider. If not then you cannot add DNS records for verification and your domain will not work.
  • Inform all the users and the clients about changing the domain. This can avoid any confusion to the users.
  • Backup data of old domain. Before changing the domain, first save your data to prevent any data loss. or if you need for future use.
  • Check how your existing domain is linked with your Microsoft 365 services. If a third-party is used, view the domain dependencies.
  • Keep a document of all your user accounts, documents, videos, images and other data. to monitor it when you are updating them.

Process to Change Office 365 Domain

This process is lengthy, so to make it easier to understant. We are going to divide it into three parts. First part is to add new domain.

  1. First, we go through the Office 365 sign page. Use the Global Administrator account to log in.
  2. After entering the account. Click on Settings option, then select the Domains button.
  3. Press the Add domain option and enter your new domain name. Don’t forget to hit the Use this domain.
  4. Select the options to state which way you want to use. Press the Next button.
  5. Now, we verify the new domain verification. To do this, there are two methods that you can use. TXT records and MX records
    • In TXT records, Microsoft provides you TXT record value, copy that value.
    • Then, log in to your DNS provider and go to the DNS management and add a new TXT record.
    • After that verify the domain.
    • In the MX record method, get the MX records provided by Microsoft.
    • Add the record in your DNS provider.
    • After verifying the process, Microsoft will confirm domain ownership and it will appear in the domain list.

2nd Part: Configure Services with New Domain

  1. After verification, configure the additional DNS records with Exchange Online, SharePoint, and Teams.
  2. Then, test the services is it working or not.

3rd Part: Change Default Domain

  1. Now, set a new domain as default.
  2. In Microsoft 365 admin center, go to the Settings. Then, click on Domains.
  3. Search your new domain and click on that. Hit the Set as default option.
  4. Update the Domain Policies and configure advanced settings.

Move Data from Old Domain to New One
